What a confirmation text has to do

A confirmation is not a reminder. A reminder says “don't forget”; a confirmation asks for a reply, and the reply is the point. It tells you which slots are safe and which ones to release, a day before rather than an hour after.

So the message needs five things and nothing else: who it's from, what the appointment is, when, one word to reply with, and one way to change it. A named business, a specific time, a keyword the customer can type without thinking, and a phone number. Under 160 characters keeps it to one SMS segment and one glance.

Send it twice: once the moment the appointment is booked, so the details exist in writing, and once 24 to 48 hours ahead asking for the confirm. Same-day nudges are a different message; the reminder templates cover those.

How to respond to a confirmation text

If a business has texted you asking to confirm an appointment, the reply that always works is the exact word they asked for and nothing else. If the message says “Reply C to confirm”, reply C. Most confirmation systems are automated and match the keyword; extra words can cause the reply to be missed, so “Yes, see you then!” is riskier than plain “YES”.

If there's no keyword, a short human reply is fine: “Confirmed, thank you. See you Tuesday at 2:30.” Restating the day and time catches mix-ups before the day.

If you need to change the appointment, look for a reschedule keyword (often R) or call the number in the message. Texting a question back to an automated number often goes nowhere. And if the text came from a short five- or six-digit number, you may not be able to reply at all from some phones; call instead.

Keep it under 160 characters if you can, and send it from a number the customer can reply to.   • How do I respond to a confirmation text?+

    Reply with exactly the word the message asks for, usually C, Y, YES, or CONFIRM, with nothing else in the message. Automated systems match the keyword and ignore extra words, so 'Yes, see you then!' can fail where 'YES' works. If the text doesn't give a keyword, reply 'Confirmed, thank you' and, if you need to change the time, call the number in the message rather than texting a question.

  • What do I say when confirming an appointment by text?+

    If you're the customer: the keyword they asked for, or 'Confirmed, thanks. See you [day] at [time].' If you're the business: 'Hi [name], confirming [service] on [date] at [time]. Reply C to confirm or call [number] to change it.' Restating the date and time in your reply catches mix-ups before the day.

  • Can I text a confirmation from my regular business number?+

    If it's a mobile number, yes. Landlines and many VoIP numbers can't send or receive SMS unless the provider enables texting on them. Whatever number you use, the customer will reply to it, so it needs to be one someone reads.

  • Do I need the customer's consent to send confirmation texts?+

    Confirmations and reminders about an appointment the customer booked are transactional messages, which most regulations treat differently from marketing texts. Collecting the mobile number at booking and telling them you'll text confirmations covers the common case. Marketing texts to the same number are a separate matter and need explicit opt-in.
