Website forms, called back in under a minute
A form that sits until morning is a customer who books someone else. With RingOwl, the visitor ticks one box and your AI calls them straight back, asks the rest of your intake questions, and books the visit.
Build and test your form in the browser during the trial.
From form to booked job in four steps
1
Build your form
Start from suggested questions and edit them. Mark each one as asked on the website or asked on the call.
2
Put it on your site
Link to the hosted form or paste one embed snippet. The website part stays short: name, phone, and one line.
3
AI calls them back
If the visitor ticks the callback box, your AI calls from your business number, usually within a minute.
4
You get a complete record
Every answer filled in, the recording, the consent, and a lead. If a time was agreed, it's on your calendar.
It only asks what the form didn’t
The agent is briefed with everything the visitor typed. It opens with “you just asked us to call you back,” asks the remaining questions one at a time, reads back emails and addresses, and books the appointment when your calendar is connected.
- Each answer is labelled as coming from the website or the call
- Call recording and transcript on the submission
- A lead is created with the source set to web form
- Edit the questions any time; the next call uses them
Hi Marcus, this is the assistant for Summit Plumbing. You just asked us to call about a leak. Have you got two minutes?
Yeah, sure. It’s the pipe under the kitchen sink.
Got it. What’s the address, and is water spreading right now?
Summit Plumbing is a fictional example.
Fast, and never uninvited
- Consent first
- No box ticked, no call. The wording, time and IP are stored with every submission.
- Business hours only
- Calls go out between 8 AM and 9 PM in your time zone. Later requests are called at 8 AM.
- One retry, then a link
- If nobody answers, it tries again 10 minutes later. Then you get an email with their answers and a link to finish online, and so do they if they gave an email.
- “Don't call me” is final
- Anyone who asks not to be called is never called again by your business.
Intake forms FAQ
How fast is the callback?+
During calling hours the call is placed the moment the form is submitted, so the visitor's phone usually rings within a minute. Outside 8 AM to 9 PM in your time zone, the call is scheduled for 8 AM and the visitor is told so on screen.
Does the AI ask questions the visitor already answered?+
No. The agent is briefed with what the visitor typed on the website and asks only the questions that are still missing, one at a time, then books the appointment if your calendar is connected.
What if they don't pick up?+
RingOwl tries once more 10 minutes later. If that call isn't answered either, you get an email with what they've told you so far and a link they can use to finish online. If they gave an email on the form, they get the link too. The submission is marked unreached in your dashboard.
Do I need consent to call people back?+
Yes, and the form handles it. The callback box is never pre-ticked; the visitor has to tick it, and RingOwl stores the exact wording, the time and the IP address with the submission. Without it, no call is placed.
Can I use it with my existing website?+
Yes. Link to your hosted form or embed it with an iframe snippet, which works on WordPress, Wix, Squarespace, Webflow or any HTML page.
Which plans include callbacks?+
Callbacks are placed from your own RingOwl phone number, which comes with every paid plan. During the free trial you can build your form and test the whole callback in your browser, with no phone line needed.
Which numbers can it call?+
Numbers in the US, Canada, the UK, Australia and India. The visitor picks their country (US by default) and the form checks the number before it's submitted.
