Physician answering service
Most calls to a physician's office are scheduling. A few are urgent. The service has to tell them apart and act on both.
7-day trial ยท 30 minutes included ยท No credit card.
A physician practice's phone carries two very different kinds of call. The majority are administrative: book a visit, move a visit, ask about a referral, request a refill, ask whether results are in. A minority are clinical and time-sensitive, and those need to reach the on-call provider quickly. A physician answering service earns its keep by handling the first kind completely and escalating the second kind reliably. RingOwl does both: it books routine appointments into your connected calendar, captures refill and results requests as structured notes for your staff, and pages your on-call line when a caller's words match the urgency rules you define. For anything that sounds life-threatening, it tells the caller to hang up and dial 911.

How the urgent-call routing works
You give RingOwl a list of phrases and situations that should reach a human immediately: chest pain, difficulty breathing, a post-surgical concern, a parent describing a high fever in an infant, whatever your practice defines. When a caller's words match, the AI stops taking a message and pages your on-call number with the name, callback number, and what the caller said. For language that indicates a life-threatening emergency, it instructs the caller to hang up and call 911 first.
Everything that doesn't match is handled as a routine call: booked, captured, or answered from the information you provided. The on-call provider is only woken for the calls you said should wake them.
What RingOwl doesn't do, stated plainly
It doesn't give clinical advice, doesn't triage symptoms beyond matching the rules you set, and doesn't replace a nurse line. It is not HIPAA-certified and doesn't sign Business Associate Agreements today; call summaries contain what a caller chooses to share. Practices with a strict BAA requirement for every vendor should weigh that before forwarding a line.
It also books into Google Calendar and Appointo only. If your scheduling lives entirely inside an EHR, appointments booked by the AI arrive as calendar entries and summaries for staff to enter, not as direct EHR writes.
What you get
Why RingOwl is the right fit
Routine scheduling handled end to end
Follow-ups, annual visits, and reschedules are booked into your connected Google Calendar or Appointo on the call, with the caller's name, number, and reason captured for the chart.
Refill and results requests as structured notes
Medication, pharmacy, and callback number for refills; name and date of birth for results requests. Your staff gets a clean queue in the morning instead of a voicemail box to transcribe.
On-call routing on the phrases you set
Define what counts as urgent for your practice. When a caller says it, RingOwl pages the on-call provider with the caller's details already captured, and instructs 911 for life-threatening language.
Flat monthly price, 24/7
Overnight physician answering services commonly bill per minute or per call. RingOwl is a flat $10, $49 or $99 a month, so a heavy flu season doesn't produce a surprise invoice.

Questions
physician answering service โ FAQ
Can it route urgent calls to the on-call physician?+
Yes. You define the trigger phrases and situations. When a caller matches one, RingOwl pages your on-call number immediately with the caller's details captured, and for life-threatening language it instructs the caller to call 911. Routine calls never page anyone.
Does it integrate with our EHR?+
Not directly. RingOwl books into Google Calendar and Appointo, and every call produces a written summary. Refill requests, results requests, and bookings arrive as structured notes and calendar entries for your staff to enter into the EHR.
Is it HIPAA compliant?+
RingOwl is not HIPAA-certified and does not sign BAAs today. It's designed for the scheduling and message side of a practice, and summaries contain only what callers say. If your policy requires a BAA from every vendor that handles patient calls, that's a gap to weigh.
Can it handle refill requests?+
It captures them: medication, dosage if given, pharmacy, and a callback number, delivered as a structured note. It never approves or advises on a refill; that stays with your clinical staff.
How does it compare to a traditional medical answering service?+
Traditional services put a human on the line and bill per minute or per call, typically from $250 a month upward, and most only take messages. RingOwl answers instantly at any hour for a flat monthly fee, books routine appointments on the call, and pages on-call for urgent ones. Where you want human judgment on every call, a human service is the better fit.
