Missed-call cost calculator

Five numbers you already have, or can count in a week, and the calculator shows what unanswered calls are costing you. The defaults are placeholders; your own figures are the point.

Defaults are illustrative, not industry statistics. The missed share is the one worth measuring: count calls against answered calls for a week.

Missed calls ร— callers who don't call back ร— your conversion rate ร— customer value. Change any input and the result updates. Nothing is sent anywhere.

How to get real numbers into it

Calls per weekcomes from your carrier portal or phone system; if you can't get it, count for one week. The missed shareis total calls minus answered calls, and it's the number most businesses have never measured. Include after-hours calls if the system logs them.

The never-call-back shareis the honest unknown. Urgent, first-time callers mostly don't; existing customers mostly do. If you're an appointment business found through Google, start high and adjust. Conversion rate is the share of answered new-customer calls that book; customer value is a first job or first-year value, whichever you plan around.

Whatever the result, compare it with the cost of answering. Forwarding unanswered calls to an AI receptionist is a flat monthly fee, the setup is one carrier code (see how to forward calls), and it reverses in a minute if it isn't worth it.

Missed-call calculator FAQ

  • How do I find out how many calls I'm missing?+

Your carrier or phone-system portal shows total inbound calls; compare that with calls you actually answered for one week. If you can't get the total, count voicemails plus the missed-call log on the phone for a week and treat it as a floor. Businesses are usually surprised by the number, which is why the calculator asks for it rather than assuming one.

  • Why does the calculator ask how many callers never call back?+

Because a missed call is only a lost customer if the caller doesn't try again. Someone with a toothache or a burst pipe calls the next listing rather than leaving a voicemail; a loyal customer calls back later. The share depends on your business, so it's an input, not an assumption.

  • Are the default numbers real statistics?+

No. They're placeholders so the calculator shows a result before you type. Every input should be replaced with your own figures; the missed-call share and the never-call-back share are the two that move the result most.

  • What's the cheapest way to stop missing calls?+

Conditional call forwarding to something that answers when you don't: a colleague, a human answering service, or an AI receptionist. Forwarding is one carrier code and reverses in a minute. An AI receptionist answers every call for a flat monthly fee, which is usually far below the revenue the calculator shows.

  • Does the calculator include after-hours calls?+

Only if you include them in the calls-per-week figure. If your phone system logs calls outside your hours, add them; those are the ones most likely to ring out and least likely to be called back.
