Rules that make an on-call rotation work

The schedule is the easy part. What breaks on-call is everything around it: a handoff nobody remembers, a primary who doesn't pick up with no agreed fallback, and calls that reach the on-call person which were never urgent in the first place. Five rules cover most of it.

  • One fixed handoff time. Monday 8am, every week. The outgoing person messages the incoming one with anything open. Put the time on the schedule itself.
  • A named backup and an escalation window. β€œIf the primary doesn't answer in 10 minutes, call the backup.” Without the window, nobody escalates; without the name, nobody knows who to call.
  • Swaps are traded, not dropped. If Maya covers Jordan's week, Jordan takes one of Maya's. Update the shared schedule, not just the group chat.
  • Weekends counted separately if they carry the load. A weekly rotation where one person always draws the holiday weekend isn't fair; run a weekends-only rotation alongside it.
  • Define what counts as an emergency before the phone rings. The on-call person should be woken for the burst pipe, not for β€œwhat are your hours?” Write the list down and give it to whoever answers the phone first.

That last rule is the one most small businesses skip, because in most small businesses the on-call person's cell isthe after-hours line, so every call wakes them. The fix is a filter in front of the rotation: something that answers every after-hours call, handles the routine ones, and pages the on-call person only for the calls that match your emergency list.   • How do I make an on-call schedule?+

    List the people in rotation order, pick the rotation length (weekly is the common default for trades and practices), set the start date and handoff time, and generate. Each period gets a primary and a backup, the next person in rotation, so a swap always has a named fallback. Copy the table into your team chat or download the CSV and import it into a shared calendar.

  • What's a fair on-call rotation?+

    Equal turns, a fixed handoff time, and a backup for every period. Weekly rotations are fair when the week is a whole unit; if weekends carry most of the load, run a separate weekends-only rotation so the same person isn't stuck with both. The load counter under the team list shows whether the number of periods divides evenly.

  • Weekly or daily on-call?+

    Weekly for most small teams: one handoff, one person accountable, easy to remember. Daily suits teams where a night on call is genuinely disruptive and people prefer short, frequent turns. Biweekly works for teams of two or three who would otherwise rotate too often.

  • Can I export the schedule to Google Calendar or Outlook?+

    Download the CSV and import it. Google Calendar accepts CSV imports with start and end dates; Outlook does too. The CSV has start, end, on-call name, backup, and handoff time columns. For a shared view, import it into a team calendar everyone subscribes to.

  • Who gets the calls when the on-call person doesn't answer?+

    That's what the backup column is for: publish it alongside the primary and make the rule explicit, such as 'if no answer in 10 minutes, call the backup'. If calls reach the team through an answering service, give it both numbers and the escalation window so it pages the backup automatically.

  • Is anything I type sent to a server?+

    No. The generator is plain JavaScript in your browser. Names and dates are never uploaded, logged, or stored.
